Our Victoria area client is a national leader in the provision of investment management services to British Columbia’s public sector.

The client is seeking a Legal Assistant on a contract basis to support initiatives within their Legal Affairs department.

 

Project Description:

The Legal Affairs department provides legal guidance to the Board, management, and all departments. They provide legal advice and support for transactional, investment and operational activities, advise on contractual, legal and regulatory requirements and issues, provide procurement services, and manage corporate entities and records.

Reporting to the Supervisor, Legal Affairs, the Legal Assistant’s main priority is to provide legal clerical support and superior customer service to members of the Legal Affairs department, including document preparation, formatting, generating reports, research, and document review. The Legal Assistant maintains a very high degree of accuracy and attention to detail and is highly organized. Discretion is key to this role, as is the delivery of high-quality work in a timely manner, and the ability to work efficiently and effectively with a demanding workload. Working in a fast-paced, often complex, and highly confidential environment, the Legal Assistant adapts quickly to and works well under the frequent changes in the priorities/deadlines of the department and of the overall client organization. The Legal Assistant continuously delivers the highest quality of service to both internal and external stakeholders.

Anticipated services include:

  • Consistently deliver a superior level of service to all internal and external stakeholders
  • Provide clerical support and assistance to all members of the Legal department including preparation of basic legal documents and correspondence; first review of documents (checking for accuracy and completeness); conduct research where applicable; draft and track signature requests; and ad hoc related requests
  • Assist with the oversight of legal invoice processing including set-up/review of retainers; when necessary enter and track progress of invoices through the invoice processing system; review and improve processes/systems; correlate information to generate reports; and resolve any issues
  • Help implement and improve upon Legal department processes for a more efficient and effective workflow
  • Assist lawyers in preparing transactional documents, affidavits, and declarations; obtain due diligence materials; monitor deadlines; initial contract reviews; and manage calendars/meetings
  • Maintain internal database of confidentiality walls / restricted lists / confidentiality agreements and consistently ensure content is accurate and current
  • Accomplish organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
  • Develop strong collaborative relationships with other business and operational groups
  • Ensure adherence to established corporate policies and directives, and ensure that solution deliveries support client values and governance directives
  • Other accountabilities may be defined as the Legal Affairs department grows and the Legal Support team develops

 

Expected working hours will be 7 hours a day from 8:30AM to 4:30PM, PDT, five (5) days per week.  Some or all of the work can be done remotely until restrictions are lifted but onsite work may be required in the future at the client’s discretion.  Term: 6 months with the option to extend the contract term for another 6 months at our client’s sole discretion.  If suitable please apply today!  There is an excellent chance of extension.  Deadline is December 1, 2021.

Must Haves
  • Minimum 5 years’ experience and comprehensive knowledge of office practices and procedures
  • Legal Assistant certification or diploma, or equivalent combination of education
  • Previous experience in a legal office and familiarity with law, legal procedures, and protocols
  • Understanding of legal terminology and the ability to apply it correctly
  • Strong organizational skills with very high attention to detail
  • Ability to multi-task, react to changing priorities, and meet deadlines
  • Strong analytical and problem-solving skills
  • Excellent verbal and written communication skills
  • A professional and discreet manner, using tact, discretion, and diplomacy at all times
  • Advanced working knowledge of MS Office and fluency with a broad range of computer applications
  • Excellent clients-first attitude and high level of professionalism
