The client is seeking a Senior Project Coordinator on a contract basis to support Digital Health Innovation (DHI) activities. Project Description: DHI delivers provincial digital health strategies and business transformations by relentlessly focusing on the end user and the end-to-end health services journey for everyone in British Columbia. We concentrate on the design and delivery of digital health tools and platforms to support the ongoing evolution of a connected health system and digitally enabled health care. By collaborating with all provincial health sector partners, we ensure an equitable approach to addressing health sector priorities. DHI is part of the Provincial Digital Health & Information Services (PDHIS) portfolio that was formed in July 2022 to enable our BC health system more effectively digitally and virtually. PDHIS brings together many organizational units from different areas into one portfolio and includes a close partnership with the Ministry of Health to deliver on the BC Digital Health Strategy. The Project Coordinator will provide coordination, intake management, reporting, and analytical support to the provincial Digital Referrals & Orders project. Working closely with Site Leads, Project Managers, Clinical Leads, and external partners, the role is responsible for managing customer intake workflows, coordinating onboarding activities, maintaining project controls and documentation, and producing program reporting and analytics. The role integrates project coordination with structured data analysis to support evidence-based decision-making, performance monitoring, and continuous improvement across multiple concurrent workstreams. Anticipated services include: The Contractor’s effort may focus on selected workstreams within this scope. The mix of coordination, reporting, intake, and analytical tasks may vary throughout the engagement. Project Coordination & Controls - Support delivery of project objectives through coordination, data management, and maintenance of project documentation.
- Maintain and reconcile project plans, onboarding trackers, and RAID logs (risks, issues, assumptions, decisions).
- Track milestones and deliverables; monitor deadlines and escalate risks or delays.
- Identify and document risks; develop mitigation and contingency plans.
- Develop and maintain project artifacts (use cases, user stories, process maps, SOPs).
- Coordinate tasks with support staff and monitor compliance with program policies.
Intake Management - Establish and oversee customer intake and service coordination workflows.
- Manage new request intake, triage submissions, and maintain accurate intake trackers.
- Conduct intake interviews; review questionnaires, referral trends, and team input.
- Coordinate intake review meetings to prioritize actions.
- Support site onboarding activities and monitor completion of onboarding checklists.
Stakeholder & Meeting Coordination - Coordinate meetings with external stakeholders
- Prepare agendas, materials, minutes, and action items; track follow-through.
- Support physician working groups and clinical coordination activities.
- Respond to ad hoc information requests and manage stakeholder inquiries.
- Facilitate cross-team communication across multiple workstreams.
- Manage customer booking tools and coordination and follow up on cancellations or no-shows.
Reporting - Prepare status reports, dashboards, performance indicators, and executive updates.
- Administer external partner compensation processes.
- Improve administrative and reporting workflows to enhance efficiency and reliability.
Data Analysis & Performance Monitoring - Compile, analyze, and synthesize program and partner data.
- Produce analytical reports to inform data-driven recommendations.
- Collect and document data requirements; maintain reporting systems and repositories.
- Implement data validation standards and quality controls.
- Monitor performance metrics, troubleshoot data issues, and maintain documentation.
- Develop standard operating procedures to improve process accuracy and efficiency.
General Perform related coordination, analytical, and administrative duties to support provincial deployment. | Must Haves | - Bachelor’s degree in Business Administration, Health Administration, Project Management, Data Analytics, or a related discipline.
- Minimum 3–5 years’ experience in a Project Coordinator, Project Analyst, or similar role supporting complex, multi-stakeholder initiatives.
- Demonstrated experience managing project documentation such as: trackers, RAID logs, and status reporting.
- Experience supporting intake processes, onboarding coordination, and stakeholder engagement activities.
- Strong analytical skills with experience compiling, validating, and interpreting data to produce reports and recommendations.
- Proficiency in Microsoft 365 applications, including advanced Excel (data analysis, pivot tables), PowerPoint, Outlook, Bookings, and MS Project or equivalent tools.
- Experience maintaining data repositories, applying data validation standards, and supporting quality assurance processes.
- Ability to document workflows, standard operating procedures, and business processes accurately and clearly.
- Strong written and verbal communication skills
- Excellent organizational and time management skills, with the ability to manage multiple concurrent workstreams.
- Demonstrated problem-solving ability and sound judgment in identifying risks and escalating issues appropriately.
- Familiarity with Agile and/or Waterfall project management methodologies.
- Ability to adapt to evolving priorities and work effectively in a dynamic project environment.
- Experience working within BC Health Authorities or other public sector healthcare environments considered an asset.
- Strong interpersonal and customer service skills, with the ability to build effective working relationships and respond professionally to stakeholder needs.
